Policy Overview & Purpose
This Work from Home Policy outlines guidelines to ensure that remote work benefits both employees and the company. It provides a framework for establishing expectations around telecommuting, ensuring a balance between productivity and flexibility.
Scope
This policy applies to all employees of Business Intelli Solutions Inc. who wish to work remotely.
Eligibility for Working from Home
Employees can work from home if their job responsibilities allow it. For instance, employees whose roles require physical interaction with customers may not be eligible for telecommuting. However, those who primarily use computers to perform their duties may be able to work remotely on a part-time or full-time basis.
Policy Elements
Telecommuting involves employees completing their tasks from a location outside of the company’s premises. This arrangement can be:
- i ) Full-time
- ii ) On designated days
- iii ) A combination of in-office and remote work.
Work-from-home arrangements may be temporary, occasional, or permanent depending on the circumstances.
Common reasons for telecommuting include:
- i ) Parenting
- ii ) Severe weather
- iii ) Emergencies
- iv ) Health reasons
- v ) Work-life balance
- vi ) Lengthy commutes
Additional reasons may be considered at the discretion of employees and their managers.
Determining Eligibility for Remote Work
Before requesting or approving remote work, both employees and managers should consider the following factors:
- i ) The nature of the employee’s job and whether it allows remote work
- ii ) Potential cybersecurity and data privacy concerns
- iii ) The impact on team collaboration
- iv ) Whether the employee has the necessary tools and software to work from home
- v ) The work environment at the employee’s home, including internet reliability and noise levels
Requesting Work from Home
Employees should follow this procedure when requesting to work from home:
- i ) Submit a formal request via email or through the HR Information System (HRIS) at least two days in advance.
- ii ) The manager must review and approve the request after considering the factors mentioned above.
- iii ) If the remote work arrangement lasts more than a week, a meeting should be held between the manager and employee to establish goals, schedules, and deadlines.
- iv ) In cases of unforeseen circumstances, such as illness or a sudden commuting issue, employees should submit their requests as soon as possible for managerial approval.
Time Zone Considerations
When employees and managers are in different time zones, there may be delays in getting work-from-home requests approved. In such cases, employees may begin working from home and notify the HR department. They should check in with their manager as soon as the manager starts their workday.
Compensation and Benefits
In general, work-from-home arrangements will not impact an employee’s compensation or benefits. If any changes are required, HR will update the employee’s contract accordingly.
