Policy Overview & Purpose

This social media policy provides guidelines for using social media responsibly, both when managing corporate accounts and when using personal social media during work hours. Social media is a powerful tool for sharing information, opinions, and experiences, but careless use can harm productivity or damage our company’s reputation. This policy outlines best practices for avoiding such issues.

 

Scope

This policy applies to all employees at Business Intelli Solutions Inc. It encompasses all types of online platforms and communities, such as blogs, social networks, forums, and chat rooms—not just platforms like Facebook or Twitter.

The policy covers two main areas:

  1. Using personal social media at work.
  2. Representing Business Intelli Solutions on corporate social media accounts.

Using Personal Social Media at Work

We allow employees to access their personal social media accounts during work hours, but this must not interfere with job responsibilities or productivity. Please limit personal social media use to brief intervals during the workday.

When posting on personal accounts, employees should:

  • Maintain confidentiality: Adhere to our company’s confidentiality policies at all times and avoid sharing any sensitive company information.
  • Avoid offensive content: Do not post anything defamatory, offensive, or discriminatory, especially content that could negatively impact relationships with colleagues, clients, or partners.
  • Clarify opinions: Make it clear that your personal opinions do not represent the company by using disclaimers such as “opinions are my own.”
  • Respect intellectual property: Do not share company trademarks, logos, or proprietary information without prior authorization.
 
Representing Business Intelli Solutions on Social Media

Employees authorized to manage corporate social media accounts or speak on behalf of the company must act responsibly to protect our company’s reputation. When representing the company, employees should:

  • Be professional: Engage respectfully and courteously with customers, stakeholders, and the public. Exercise patience and politeness in all interactions.
  • Stay within your expertise: Avoid commenting on topics outside your professional scope.
  • Follow company policies: Abide by confidentiality, data protection, and intellectual property laws.
  • Coordinate with the PR/Marketing team: Notify the appropriate department when sharing significant or high-impact content.
  • Respond appropriately: Avoid deleting or ignoring comments without reason. Address criticism and correct false or misleading information as promptly as possible.
  • Maintain decorum: Never post discriminatory, offensive, or defamatory content.

 

Disciplinary Actions

The company will monitor all corporate social media activities. Employees who violate this policy—whether by neglecting work to use personal social media, sharing confidential information, or making offensive remarks—may face disciplinary action, up to and including termination.

If a violation is unintentional, employees may receive a warning or reprimand, but stricter measures will follow if the issue persists.
